Job Description:
The Administrative Assistant/Secretary must have a minimum of 5 years experience supporting executive level or director level leadership by performing administrative/secretarial services to include scheduling meetings, preparing travel orders, maintaining files, reserving conference room, receiving callers, assisting with graphics and presentations, photocopying, completing reports and other general office duties, as assigned. The Administrative Assistant/Secretary will also be proficient in editing and assuring the quality of office work products.
U.S. Citizenship: Must be able to successfully pass a background check.

Job Description:

- Provide day-to-day administrative support to the Director, Deputy Assistant Administrator, Deputy Director for Operations, Chief of Staff, to include incoming/outgoing phones calls, greeting and referring all visitors. Appointments for supervisors are scheduled and maintained at supervisor's approval.
- Ensure controlled correspondence is managed including observing deadlines. Receives, acts upon, assigns, tracks and monitors externally and internally generated correspondence and inquiries. Follows up to ensure observance of deadlines and coordination of internal comments and clearance. Prepare documents and reviews outgoing documents for typographical and grammatical accuracy, neatness as well as adherence/conformance to supervisor's personal style and established forms and procedures.
- Prepare travel orders and travel vouchers for Director, Deputy Assistant Administrator, Deputy Director for Operations, Chief of Staff, Deputy Chief of Staff, and other officer Directors as required. All travel orders requests shall be completed within 2 business days.
- Ensure filing system for all HQ functions are conceptualized, appropriately vetted, and implemented to include automates and hard copy system ensuring operating procedures are documented and measures of effectiveness are clear/in place. All completed hard and soft documents are filed within two business days of the signature date.
- Provide general clerical mail service -retrieving/picking up and distribution - is provided for HQ. A variety of recurring reports are prepared. Photocopies/prints documents and other materials.
- Demonstrate timely responsiveness, informing clients of the status of their request(s) and when to expect resolution within 2 hours. Ensure interactions with others demonstrate the ability to listen effectively and seek the opinions while resolving any conflicts in a constructive manner.
- Ensure controls are exercised by the Director, Deputy Assistant Administrator, Deputy Director for Operations, Chief of Staff, in the direction of how assignments are made, instructions are given to the contractor, priorities and deadlines are set.
- Ensure detailed review of the finished assignment is conducted by the Chief of Staff or Deputy Chief of Staff. The Contractor will implement quality control procedures for all tasks to ensure all work products conform to the statement of work.
- Previous experience required
- Should possess strong oral and written communication skills
- Extensive experience with Microsoft programs (Excel, Microsoft, Power Point, etc)
