Position: Part Time Office Clerk

Jamison Professional Services, Inc. (“JPS”) is currently seeking qualified and motivated professional for the position of Part Time Office Clerk.
Job Description:
Specific work shall include, but not be limited to the following:
Duties and Responsibilities:

  • Answer phone and greet customers. Open, code, and distribute mail, emails, and faxes. Order supplies when needed
  • Maintain the general up keep of the office. Ensure that the cleaning company meets their requirements
  • Maintain employee files and report any new hires to E-Verify and Georgia New Hire Reporting. Process payroll. Complete direct deposit entries online for payroll
  • Make weekly and monthly payroll tax payments. Prepare quarterly Payroll Tax Reports
  • Prepare yearly Payroll Tax Reports and Sales Tax Reports
  • Enter sales tax to be paid to the Department of Revenue on invoices that do not include sales tax
  • Accounts payable – Enter invoices, cut checks, and prepare checks for mail.
  • File paid invoices. Maintain Vendor Agreement Forms for all subs
  • Maintain General Liability/Worker's Comp certificates and W-9 forms for all subs and suppliers
  • Prepare and handle General Liability/Worker's Comp. insurance audit annually with the CFO
  • Run errands as needed. Fix malfunctioning office equipment. Work with CFO regarding IT for computer assistance
  • Receive payments and inform Danyse of receipt. Complete deposit slips and make deposits
  • Support to Owners, Finance Manager, Operation Manager, Project Managers, Estimator, Project Coordinator, and Superintendents
  • Prepare for weekly production meetings, take minutes during weekly production meeting, and distribute production meeting minutes through email
  • Track retainage on pending spread sheets. Maintain monthly pay apps from Subcontractor in an organized job folder
  • Year end printing of W-2s and 1099's with Finance Manager. Organize year end filing
  • Provide required information to Project Coordinator for the completion of Davis Bacon paperwork when required
  • Provide required information to Project Coordinator for the completion of LSBE/SBE paperwork when required


  • Demonstrate proficiency in required software (QuickBooks, MS Word, Excel and Outlook).
  • Excellent technical skills; understanding of computer software, hardware.
  • Ability to multi-task. Strong interpersonal skills. Good phone presence. Good communication skills
  • Independent problem solver, but knows when to ask for help. Self-motivated
  • High level of integrity and dependability. Adaptability. Represent the company in a positive manner (hygiene, attire, well-spoken/written

Schedule: The work will be Wednesdays and Fridays from 8am -2pm, with opportunity to add more days/hours in the future.
U.S. Citizenship: Must be able to successfully pass a background check.
